How RAI Calendar works

A practical guide to the features available in the RAI Calendar web app today.

Overview

RAI is a local-first calendar workspace. Events, People, notes, to-dos, and timesheet drafts live in your browser and sync when you are online. Google Calendar is optional for two-way sync and Meet. Zoom is an optional video provider. Slack provides channel reminders and commands. Shared calendars provide collaboration and calendar chat.

  • Command bar (Ctrl/Cmd + K) — find events, People, panels, and @rai prompts.
  • Record / Assistant — turn speech or text into calendar actions, with optional confirmation.
  • Right rail — open notes, to-dos, timesheet, analytics, and calendar chat.

Keyboard

Most global shortcuts use Alt (Option on Mac). Copy, paste, undo, and Settings use Ctrl on Windows and Cmd on Mac. Day and week editing shortcuts work after you select an event.

Command bar

Press Ctrl/Cmd + K. With an empty bar, choose navigation commands. Typing matches titles and keywords such as “timesheet”, “crm”, and “new note”, as well as events, People, and to-dos. Unmatched text starting with @rai runs as an assistant prompt in a toast.

Date spans

Dates in the command bar parse in English. A clock time is enough for a natural event request such as “event 3pm”. Analytics, Timesheet, and CRM can use the same date span.

Day spans use DD-DD (14-25); month spans use a double hyphen (03--06 or Mar--Jun); year spans use four-digit years (2024-2026).

/rai commands are English only. @rai tries those commands first, then sends other text to Rai, including other languages.

Calendar

Month, week, day, and agenda views share one event model. Change views in the toolbar or set a default under Settings → Calendar Preferences. That panel also controls weekends, week numbers, working hours, timezone, density, and Google Calendar.

You start with one calendar. Use the Calendars section in the left sidebar to add calendars, change visibility, and choose where new events go. Shared calendars grant invitees editor access. Event and guest updates appear without a reload while both people have the calendar open.

Connect Google Calendar in Calendar Preferences for two-way sync and Meet links. Auto-add video link can add Meet to online events. ICS import creates a RAI calendar from a file dropped on Calendars. Focus status is in the left sidebar; Do not disturb pauses in-app notifications and OS event reminders until you change status or its timer ends.

People & Invited

People is the CRM list in the left sidebar: contacts, pipeline, and meeting context. Event guests should match People records. Invited lists pending and accepted calendar collaborators. Online teammates appear under People.

RAI Assistant

Open the Assistant with Alt+Shift+A, the right rail, or the command bar. Agent, Schedule, Tasks, Notes, and Meet modes guide what it proposes. Speech recognition uses the browser/platform default and may process audio locally or through that provider. RAI receives the transcript and does not itself send or store raw microphone audio. The request may also include relevant event, contact, note, or to-do context. A clock time can be enough to create an event.

Auto-approve in Settings → AI & Workspace skips confirmation for new events. Leave it off to review each suggestion. Free includes 5 AI conversions in a rolling 24-hour window; Pro and Team are unlimited.

Slash shortcuts

Type these in the Assistant composer; they expand before sending.

/event [text]Expands to “create event” plus the rest of the line.

/contact [text]Expands to “add contact” plus the rest of the line.

Notes, to-dos, timesheet

The right rail holds Quick Notes, to-dos, timesheet, analytics, the Assistant, and calendar chat.

  • Quick Notes — search, filter, switch grid/list, pin, and archive. Changes queue locally and sync later.
  • To-dos — use a list or board, filters, and priorities. Say “Rai todo” or choose New to-do in the command bar.
  • Timesheet — available on Pro (with 30-day history on Free). Visible calendars fill a weekly draft. Remove hides a row from export; Restore brings it back. Export previews CSV, XLSX, or PDF before download on the Pro plan.
  • Analytics — review scheduled time, meetings, deep work, and transit for a selected span. Open it from the rail or with “Open reports”.

Integrations

Connect services under Settings → Integrations. Slack supports alerts and /rai commands. Notion and Linear sync events, notes, and to-dos. Zoom creates meetings for online events. Google Calendar is managed under Calendar Preferences.

Offline & sync

Creates, edits, and deletes queue in IndexedDB while offline. RAI retries pending changes when the network returns. The header shows Offline or an unsynced count with Retry. Returning to the tab also triggers a sync attempt.

Calendar chat

Chat belongs to a shared calendar. Its panel shows Live, Connecting, Reconnecting, or Offline. Messages use realtime when available and resync when the channel reconnects.

Plans & trial

Checkout runs through Lemon Squeezy. New Pro checkouts can include a 14-day Pro trial with full access to Pro features. Then billing converts to the purchased plan. Settings → Billing shows the active trial timeline. Manage cards, invoices, and cancellation in the Lemon customer portal.
